Frequently asked questions
Does RentBase work for landlords outside of Ontario?
Yes. RentBase is built for Canadian landlords in every province and territory. CRA T776 categories, Canadian dollars, and CRA mileage rates in kilometres apply nationally. Tenant rent receipts use a format that meets Ontario Residential Tenancies Act requirements and the CRA expectations that other provinces follow. Provincial rental rules give you quick links to your local tenancy board and key forms for 12 of 13 provinces and territories (Quebec excluded for provincial rules; T776 federal reporting still works there).
Can I take rental applications online?
Yes. On Pro and Business, you can share a public application link for any property or specific unit. Prospective tenants complete the form on their phone or laptop, including joint applications, co-applicants, and guarantors. You decide which sections to ask (rental history, references, pet and vehicle details, supporting documents, and more) on a per-link basis. Submissions land in your Applicants inbox where you can review, shortlist, send back for edits, or reject.

Can I import my existing spreadsheet?
Yes. The Excel and CSV import wizard walks you through mapping your columns to RentBase fields, handles date normalization, and previews everything before it touches your data. Most landlords migrate from their spreadsheet in under 30 minutes.
Is the AI receipt scanning required?
No. AI receipt scanning is entirely optional. You can upload receipts and enter the details manually. The AI is available on Pro and Business as a time-saver, with 30 scans per month on Pro and 300 on Business.
Where is my data stored?
All application data is stored in Canadian data centres in Ontario. Tenant contact information is encrypted at rest using AES-256-GCM. The only data that ever leaves Canadian infrastructure is receipt images, and only when you explicitly use the optional AI scanning feature.
Does RentBase handle Capital Cost Allowance (CCA)?
Yes. Every plan includes a full CRA T776 report with Area A Capital Cost Allowance. You can add capital assets with the correct CRA class, the declining-balance calculation runs automatically, and rental loss restrictions are enforced. Pro and Business can save multi-year CCA schedules for UCC carry-forward.
